Reservation & Stay Policies

To ensure a seamless experience for all our guests and travel partners, kindly review the following reservation, cancellation, payment, and stay policies applicable across Defoy Hotels & Resorts.

Reservation Policy

  • All reservations are subject to availability and confirmation by Defoy Hotels & Resorts.
  • Reservations shall remain tentative until the required advance payment is received.
  • A standard reservation hold period of 12 hours is applicable unless otherwise specified.
  • Defoy Hotels & Resorts reserves the right to release tentative bookings without prior notice upon expiry of the holding period.
  • Guests and travel partners are advised to verify all booking details carefully before confirmation.
  • Reservation confirmations issued by email shall be treated as the final operational confirmation.
  • Any verbal communication shall not be considered valid unless confirmed in writing by the reservations team.

Payment Policy

  • A minimum advance payment of 50% of the total reservation value is required to confirm the booking.
  • The remaining balance, if any, must be settled prior to guest check-out unless credit arrangements have been approved in writing.
  • Payments may be made through bank transfer, UPI, or approved digital payment methods.
  • Payment confirmation is processed only upon receipt of transaction confirmation or payment reference details.
  • Guests and travel partners are requested to share payment proof immediately after the transaction for timely confirmation.
  • All applicable taxes shall be charged as per prevailing government regulations.

Cancellation Policy

Free Cancellation

Cancellations made 15 days or more prior to the arrival date shall be eligible for a full refund.

Partial Retention

A retention charge equivalent to 50% of the booking value shall apply for cancellations made between 15 to 10 days prior to arrival.

Full Retention

100% retention charges shall apply for cancellations made within 10 days of the arrival date.

Peak season, festive periods, and special event bookings may carry separate cancellation terms.

Amendment Policy

  • Amendments are permitted only once per reservation and must be requested at least 10 days prior to arrival.
  • All amendments remain subject to room availability and prevailing room rates during the revised stay dates.
  • Additional charges may apply based on seasonal pricing or room category changes.
  • Amendment requests received within 10 days of arrival may be treated as cancellations and retention charges may apply accordingly.
  • Date changes during peak travel periods may attract revised pricing.

Early Departure Policy

  • In the event of an early departure, charges equivalent to the unused room nights may apply.
  • No refunds shall be processed for unused nights unless specifically approved by management.
  • Any approved refund remains subject to management discretion and applicable deductions.

No-Show Policy

  • Reservations where the guest fails to arrive without prior intimation shall be treated as a no-show booking.
  • Applicable retention charges may extend up to 100% of the reservation value.
  • Rooms reserved under confirmed bookings may be released after the applicable holding period on the scheduled arrival date.

Check-In & Check-Out Policy

Standard Timings

Check-In: 02:00 PM — Check-Out: 12:00 Noon

Early Check-In & Late Check-Out

Early check-in and late check-out requests are subject to availability. Additional charges may apply depending on the duration and season.

Identification Requirement

All guests must present a valid government-issued photo identification at the time of check-in. Foreign nationals are required to present a valid passport and visa documentation. PAN cards shall not be accepted as valid address proof or identity proof for check-in purposes.

Child Policy

  • Children below the age specified by the respective property may stay complimentary when sharing existing bedding with parents.
  • Extra bedding or mattresses shall be chargeable.
  • Child policy may vary across properties and room categories.
  • Breakfast or meal inclusions for children may attract supplementary charges.

Extra Occupancy Policy

  • Additional guests beyond the standard room occupancy may incur extra person charges.
  • Extra bedding is subject to availability.
  • Maximum occupancy limits are defined by the respective room category and safety regulations.

GST & Invoice Policy

  • GST shall be applicable as per prevailing government regulations.
  • GST invoices can only be issued upon submission of valid GST details at or before the time of check-out.
  • Requests for invoice modifications after check-out may not be entertained.
  • For invoice-related assistance, guests and partners may contact accounts@defoy.in.
  • Invoices shall be issued only against confirmed and cleared payments.

Refund Policy

  • Eligible refunds shall be processed through the original mode of payment.
  • Refund timelines may vary between 10–14 working days depending on banking channels.
  • Payment gateway fees, transaction charges, or bank deductions, if any, may be adjusted from the refundable amount.
  • Refund processing timelines during peak operational seasons may vary.

Travel Agent & Third-Party Reservations

  • Reservations made through travel agents, OTAs, or third-party platforms shall remain subject to the terms agreed with the respective booking partner.
  • Any modifications, cancellations, or refund requests should preferably be initiated through the original booking source.
  • Defoy Hotels & Resorts reserves the right to coordinate directly with the booking source for operational clarifications.

Force Majeure / Exceptional Circumstances

In circumstances beyond reasonable control including but not limited to natural disasters, road closures, government restrictions, weather disruptions, strikes, public emergencies, or regional operational limitations, Defoy Hotels & Resorts reserves the right to:

  • Offer alternative stay dates
  • Provide credit notes
  • Revise reservation terms
  • Process refunds at management discretion
  • Temporarily suspend operations where required for guest and staff safety

Guest Conduct & Property Rights

  • Defoy Hotels & Resorts reserves the right to refuse accommodation in cases of misconduct, inappropriate behavior, or activities affecting the comfort and safety of other guests.
  • Unauthorized visitors may not be permitted in guest accommodation areas.
  • The management reserves the right to request guests to vacate the premises in situations affecting safety, operations, or guest experience.
  • Any damage caused to hotel property by guests shall be chargeable accordingly.
